Are you overworked…understaffed?   IDS is ready to help!
IDS (Information Digitizing System) is a PC-based, self-contained document management system for converting paper archives into searchable, document images. The system is fully developed and uses off-the-shelf equipment and consumables. The focus of the system design is ease of use for the lowest paid clerical or over-worked administrative staff.
Why Use IDS?
Simple to operate
Saving a scanned document to disk is a single mouse click. The only keyboard data entry required by IDS is identification such as a patient name or client case number – all other functions are performed by mouse clicks.
Simple to learn
A non-technical person learn how to use IDS in a short time and become a fully competent operator with minimal experience.
Space efficient
IDS can fit anywhere in a professional office – all it needs is a little bit of desktop space.
Unique package
To the best of our knowledge, no other system comes close to having the feature set of IDS.
Money savings
Work can be performed by minimum wage clerical staff.
Timesavings
Information retrieval significantly faster since documents are scanned and searchable rather than paper files in boxes off-site.
Confidentiality
Sensitive information is never in the hands of outsiders.
Portability
Scanned files can be copied onto media such as memory sticks and flash drives for easy shirt pocket transportation to remote computers.
How does IDS work?
Scanning
IDS closely integrates scanner control within the system; users are guided through the process from loading the documents to be scanned, right through to the automated saving of the searchable PDF images to the client’s or patient’s folder on the hard disk.
Organizing
IDS organizes information into a straightforward file structure. Clerical staff quickly and easily create folders for each patient/client and group them under other folders for long-term storage on network drives, CDs, or other removable media.
Permanent storage and backup
A critical element of IDS is the simple routine for backing up patient/client files to other drives, removable media, and CDs to safeguard the files from accidental destruction or file corruption.
Searches
IDS automatically creates each document as a PDF-searchable image. With a simple click, a user invokes the IDS Navigator that integrates control of the Adobe Reader for easy searches through the saved documents by patient/client, or by CD, folder, or entire database.
IDS automatically includes the IDS Navigator on any removable media it generates. This means you can insert a flash drive, memory stick, CD, etc. to any Windows PC with the free Adobe Reader software and quickly begin to perform searches – no need to install software or reboot the computer.
Indexing
At a click of a button, IDS generates a searchable Index of all images so it can direct you to the exact client /patient folder on a CD backup.
